We build global families by bringing together international visitors with American host families—providing meaningful childcare for families, an unforgettable year in America for au pairs, and a culturally enriching experience for both parties. 

We are proud to be the largest and most experienced au pair organization in the world, having successfully placed more than 120,000 au pairs into welcoming American homes since 1989. Our program is strictly regulated, and our dedicated staff all over the world work together to ensure each participant has the experience of a lifetime.

About the role:

The administrative coordinator is a part-time role, totaling 15-18 hours/week on average.

As an administrative coordinator, you will support our customers as we undertake large-scale technological changes. Cultural Care is a leader in the cultural exchange sphere, and is working to innovate and develop the ways in which our program participants interact with us and each other.

Through these changes, we are seeking an administrative coordinator capable of supporting our au pairs with the resources and support they need to be successful on our program. Responsibilities will including preparing personalized mailings with information critical to the au pair’s stay, tracking application changes for the candidate and communicating these, ensuring we are compliant with all necessary paperwork pre-departure, and following up with au pairs once in the US to ensure we collect important details from them and support them during their stay.

In this role, you will work closely with our recruitment staff in Poland, and our operational and technical staff in the US and Switzerland. You will be regularly debriefed on new feature rollouts and the implications for our customers, and the role and responsibilities may shift accordingly with these new changes. You will have an opportunity to learn about our new technological platforms and how they integrate with and support all facets of the business.

Overview

Cultural Care Au Pair, is an innovative cultural exchange program. We are seeking an innovative and experienced School Director.   We have thousands of au pairs that participate in our program each year and their first stop in the United States is the Au Pair Training School.  This is literally the one place that 100% of au pairs have the opportunity for the same (great) experience.  There are a few objectives that we’re looking to achieve each week:

  • We want our au pairs to experience the fact that the Cultural Care staff in the United States are just as supportive and caring as the staff that they met in their home country. They should leave the training school feeling confident that they have a ton of support here during their year.
  • We want our au pairs to absorb important content related to child safety and communication as well as achieve certification in CPR and First Aid.
  • We want our au pairs to get over their jet lag and feel comfortable and relaxed before they depart for their host families.
  • We want our au pairs to make some friends and exchange contact information with other au pairs so that they can start to build a support network while they are here in the US.
  • We want our au pairs to have fun.

The Role

As the School Director, you will:

  • Ensure that every au pair has a positive experience with the staff at the school. Au pairs are our guests and we are there to ensure they have a great experience.  We are there to solve their problems.
  • Ensure that we are 100% compliant with Department of State Regulations when it comes to classroom content.
  • Ensure Operational Excellence. The operational elements of the school should run like a well-oiled machine.  This includes dining, room assignment, luggage storage, key issue and turn in, linen services, airport shuttles, bus operations, 24 hour emergency operations, health issues, teacher and classroom scheduling, and much more.
  • Develop your Staff. The director has a team of staff and teachers.  There should be a plan so that these people get better every day.
  • Maintain relationships with our vendors.
  • Occasionally, speak with our other customer --- the Host Family. From time to time, a host family will have a question or complaint about the school.  This call will end up with you.
  • Solve problems. You are running a 24 hour operation. There are a few hundred au pairs on campus, most of who have never been to the United States before.  Things will go wrong.  Inbound flights will be delayed or cancelled.  Outbound flights will have issues too.  Buses will get flat tires.  Au pairs will get sick.  The hot water heater will break.  You get the point.  No two days are the same and your job will be to ensure that the guests don’t experience the chaos behind the scenes.
  • Work/Interact with a diverse set of colleagues. You are at the center of a very big universe.  You will work with and answer questions from the staff in 20+ countries that recruit and prepare our au pairs.  You’ll also be in contact with our US headquarters in Boston.  You are the only ones (you and your staff) who will meet EVERY au pair that participates in our program.  You’ll work with our travel team who books flights/buses/trains for au pairs to come to the school and leave a few days later.  You’ll work with colleagues who work in our Denver office and with colleagues who work from home offices throughout the country.  You’ll work with everyone –whether they work in customer service, sales, marketing, IT, or finance.  You’ll need to be able to adjust how you talk depending on your audience.  You’ll also have to be great at managing your time.
  • Manage Facilities. Even though we rent space—you’ll still be in charge of making it look great and ensure that everything works correctly.
  • Make it better. There’s ALWAYS room for improvement.  This is a place that needs to grow and adjust as the world changes.  We need to be nimble and continue to adjust as the needs of our customers change.

About the role 

Cultural Care Au Pair, an innovative provider of childcare you can trust like family, is seeking dedicated educators to deliver our State Department mandated curriculum focused on child development and safety. 

  • Teaching or professional training experience required.
  • Experience with childcare.
  • Easily adaptable to changing situations; having a “nothing is impossible” attitude.
  • Exceptional, professional and friendly communication skills with students and colleagues.
  • Knowledge of a second language or ESL is a plus, but not required.

 Schedule and Compensation

  • Approximately 20 hours per week.
  • Tuesdays and Wednesdays.
  • Frequency can vary from one per month to almost every week in our peak months.
  •  Begins at $15.00 per hour

The Role

The ultimate goal of the Customer Experience Coordinator will be to ensure that each au pair at our school feels safe and supported and is having fun. This is done through planning small and large events, community involvement, vendor relations and customer support. The perfect candidate will be the ultimate go getter that has a genuine interest in creating an exceptional customer experience.

Responsibilities

  • Implement creative programs, events and enhancements throughout the building to create community, connection, and belonging in the school.
  • Market and promote weekly events to au pairs and the community utilizing a combination of in-person creative techniques, technology and marketing collateral with an ultimate goal of building relationships and fostering support.
  • Respond to and document  crisis, health and counseling related issues for au pairs. At times this could be on an on-call rotation.
  • Maintain close working relationships and partnerships with staff, contractors and families to provide well-rounded support to au pairs.
  • Develop and refine programs based on evaluations and customer feedback including: NYC tour experience, transportation, local community involvement, Training School “alumni” connections.
  • Communicate with outside vendors to schedule, organize and fulfill transportation and academics requirements at the school.

We are looking to expand our US based travel team.  Along with your teammates, you will be responsible for ensuring that thousands of travelers get WHERE they need to be WHEN they need to be there.  You’ll ensure that they do so safely, efficiently, and comfortably.  All the while, you’ll execute upon a tight communications strategy to ensure all stakeholders are kept up-to-date during constantly evolving situations.  If you LOVE solving puzzles, WOWing customers, and learning new things---you’ll have a blast.  There’s always something new to learn and experience, and you’ll be a critical piece of the engine behind this successful program.

Use your superior communication skills and timely responsiveness in this highly visible position within our company. Working mostly through phone and email communication, you serve as the primary resource of information and problem solving for our host families, au pairs, contractors and colleagues.  You are able to maintain a positive attitude and make every customer feel like your top priority. With every inquiry from our program participants and Local Childcare Consultants (LCCs) you proactively add value to the overall customer experience, by being thorough, taking ownership of resolution and anticipating their future needs.  You will work directly with our vast and experienced team of LCCs to ensure our program remains compliant with the regulations set forth by the Department of State. Host families and au pairs look to their Account Manager as a trusted resource for all questions throughout their year on the program.

This role gives insight into every aspect of our organization, setting up the right candidate for future growth opportunities within Cultural Care and greater EF.

A day in the life…

  • Kindly and effectively answer questions and resolve customer needs over the phone and email
  • Identify and implement opportunities to enhance customer experience
  • Engage in team-oriented activities: sharing ideas, giving feedback, and training new hires
  • Prioritize customer needs and set realistic expectations
  • Review documents to make sure we remain in 100% compliance with the US department of State
  • Call and email host families to remind them of program fees, due dates, credits and discounts
  • Responsible for the overall Accounts Receivable aspect of your region
